The Role

The a16z AI Infrastructure team is a tight knit team with a genuine passion for the future of technology. We’re looking for a dedicated and optimistic Administrative Assistant to support senior executives across the Infrastructure team.

The ideal candidate is a dynamic self-starter who loves building relationships and being the connective tissue across teams and stakeholders. We’re looking for someone with the ability to handle sensitive information with excellent judgment and discretion, as well as exceptional communication skills and meticulous attention to detail. This role supports multiple leaders and requires the ability to prioritize competing responsibilities.

Daily responsibilities will include calendar management, meeting coordination, Salesforce data entry, as well as event planning and on-site network support.

The preferred location for this role is San Francisco, CA. The role requires in-office presence at least 3 days a week in our San Francisco Bay Area, CA offices and in-person support for evening events.

To join our team, you should be excited to:

  • Build and cultivate long-term relationships
  • Handle highly confidential information and documents with discretion and confidentiality
  • Manage and maintain multiple calendars, including recurring meetings, prioritizing appropriately and using good judgment in offering solutions to complex scheduling and meeting planning needs
  • Provide event management support on behalf of executives and team, including liaising with venues, internal event partners, external caterers and restaurants, as well as occasionally staffing events
  • Track and drive completion of key deliverables, and proactively follow up on outstanding items as needed (examples include swag procurement, slide presentations, etc)
  • Operate with exceptional attention to detail. Anticipate potential changes or shifts in priorities amidst simultaneous demands for attention

Minimum Qualifications

  • 3+ years of high level experience providing strategic support to multiple leaders and/or large teams
  • Pride in ownership. We are a self-starting, proactive culture and take pride in doing what we say we will do to the best of our ability
  • A strong team player, who thrives in a collaborative setting and works well within a matrixed environment, poised and able to work with individuals at all levels of the organization
  • Proactive, positive and personable with excellent communication skills and an upbeat, “can do” attitude- willing to take initiative with confidence
  • Resilient, with ability to manage multiple projects and deliver quality work to deadlines
  • Discretion, diplomacy and excellent judgment; high degree of integrity when dealing with confidential and sensitive information.
  • Exceptional attention to detail
  • Strong calendar management and prioritization skills
  • Advanced proficiency with Gmail, Google Calendar, Google Suite and Salesforce as well as Zoom
  • Powerpoint and Zoom – and a big plus if you have favorite AI tools to optimize your workflows
  • Low ego, high empathy, and the capacity to collaborate effectively with diverse teams

The anticipated salary range for this role is between $100,000 - $117,000, actual starting pay may vary based on a range of factors which can include experience, skills, and scope.

This role is eligible to participate in the a16z carry program and various discretionary bonus programs as well as benefit and perquisite plans including health, dental, vision, disability, life insurance, 401K plan, vacation, and sick leave.
