Position Overview:
Stepstone Group is seeking to hire a Vice President to support the management and operating framework related to the firm’s fund and investor onboarding program. The successful candidate will have extensive experience working in the private markets industry within a client service-related role. Extreme focus on the client experience and fund structuring process will enable the right candidate to work at the epicenter of fundraising activity with the goal of improving the client experience overall. As a senior member of the onboarding team, the candidate will report to the Director of Fund Onboarding and work closely to develop processes and technology and to implement a new global operating framework. In addition, the person will be responsible for the management of junior team members and associated daily or weekly deliverables. The Vice President will serve as the daily point of contact for both internal stakeholders, administrators, external law firms, technology vendors. Most importantly the role will collaborate and support clients directly in a white glove manner to facilitate the LP transfer and secondary sale process. The person should be extremely process oriented, entrepreneurial and have experience working with different fund administrators globally to support the onboarding process. Strong attention to detail and understanding of the private market’s subscription process is critical to the role. Capturing important client data in a digital format is a major focus for this team. The successful candidate should have experience and knowledge of digital enablement tools, data and analytics, fund reporting and managing the business requirements / environment for Salesforce CRM solutions.
Essential Job Functions:
- Serve as main point of contact internally and externally for all transfer-related matters throughout the investment lifecycle
- Identify and track all transactions that qualify as a legal transfer of ownership, legal name change or tax ID change
- Manage and oversee third party service providers, including transfer agents and fund administrators, to facilitate and process high volume of transfer agreements on a quarterly basis
- Source and update master transfers tracker with weekly updates to report on trending volume towards completion
- Ensure timely processing and communication across stakeholders including initial inquiries and ongoing support to limited partners who are transferring their interest in a Stepstone fund, including, without limitation, coordinating due diligence questionnaire responses from tax, fund accounting, legal and the investment team and confirming with business leads of StepStone funds on buyers list and other permitted transferee matters
- Responsible for quarterly transfer deliverable which includes collection and storage of all final documents and key transfer report provided to fund accounting, fund administrators and lenders of StepStone funds, as applicable
- Accurate books and records entries at each quarter end based upon fully executed transfer agreements and subscription documents
- Provide transparency across parties regarding the status of initiated and closed transfers in advance of and on effective date.
- Build out functional areas and processes to address more complex needs within CRM system, dashboard reporting, roles and responsibilities across third party vendors.
- Provide training of transfer requirements internally to establish clear understanding of process and identify efficiencies and improvements to the current process
- Produce official quarterly and annual transfer reports systematically serving as official source of truth and book of record
- Experience with legal documents, legal review processes, and contractual / signature processes
- Ability to direct investor (including transfers or changes to information in the investor profile) related inquiries, issues and escalate where required
- Enforce key legal concepts, rules and general compliance to keep process on track each quarter
- Guide transferee client through subscription process via digital platform, work to make process seamlessly integrated to transfer lifecycle
- Provide management key performance and risk indicators, collaborate with IS, Legal, Compliance and Fund Accounting to execute strategic vision and operational enhancements for transfers’ functions
- Manage stakeholder engagement and awareness intra process and at close for transfer engagement
- Provide oversight and management of third-party legal providers for transfer legal reviews, facilitating review comments and electronic signature processes where specified
- Enhance data and reporting function to provide better data packages related to transfer activity across the firm
- Implement new requirements as needed on behalf of client experience and internal operational needs
- Establish and implement quarterly Books and Records entry into master client management systems to facilitate onboarding, removal of prior LPs and to activate access to the investor portal where instructed
- Collect and validate final documents status adhering to closing checklist to store all fully executed agreements
- Lead and oversee outsourced provider team to respond to all initial inquiries and direct steps towards effectuating transfers. This includes providing clear instructions on the process to the client and working with them directly towards a timely close.
- Manage weekly call forum across all parties and providers to identify at risk items and tracking towards effective date.
- Collaborate with Fund Accounting to provide final transfer register deliverable within quarterly effective date and to maintain all records ensuring capital activity and business continuity for larger fund population
Required Skills and Experience:
- 7-10 years proven experience working at a private market’s asset management firm in a management capacity leading a team.
- Experience within the fund onboarding, legal or paralegal function working with external law firms and providers.
- Investor services, finance, or a related field, with a strong background in vendor management.
- Extensive experience in Salesforce CRM systems managing a client base and associated records.
Salary: $150,000 - $165,000
The salary range is an estimate of pay for this position. Actual pay may vary depending on job-related factors that can include location, education, skill, and experience. The salary range does not include any benefits or other forms of possible compensation that may be available to employees.
